Choose the operating model first

n8n combines visual workflows with code and AI-related integrations, and offers hosted and self-hosted deployment paths. These options carry different responsibilities. The official product site is the starting point for current capabilities and licensing; do not assume that self-hosting removes maintenance work or permits every commercial use.

A useful first workflow

Evaluate a small process: receive a test support request, classify it, and prepare a draft response for a person to approve. Keep the first version away from production mailboxes and customer records. If an AI step is involved, store its suggestion separately from the approved response so the two cannot be confused.

Test the failure cases before adding more steps. Send the same request twice, omit a required field, and simulate an unavailable downstream service. Check whether retries create duplicate records or messages. Decide where the workflow stores a stable request identifier, who sees failures, and how a failed run can be resumed without repeating completed actions.

Ownership affects cost

For self-hosting, assign someone to upgrades, backups, credential management, and recovery testing. For a hosted plan, check execution allowances, retention, collaboration, and the integrations you need. External model and service charges may belong to separate accounts; include them in your trial budget rather than treating the automation subscription as the entire cost.
